How to Use ChatGPT for Small Business: 6 Steps to Real, Weekly Help
Pick the right plan, protect your data, set up projects for your recurring work and put the routine jobs on a schedule.
The short answer: Start on the free plan or Plus ($20 a month), and move to ChatGPT Business once two or more people need it. Turn off model training before you paste in anything sensitive. Then build one project per recurring job, such as customer emails or monthly reports, so ChatGPT already knows your context. Put the routine checks on a schedule, and always review anything a customer will see.
Most owners try ChatGPT once, get a generic answer and give up. The fix is not a better single prompt. It is setting ChatGPT up so it starts every job already knowing your business. This guide covers the settings and habits that make that happen, using features OpenAI lists in its help center as of October 2026.
How to use ChatGPT for small business, step by step
1. Choose the plan that matches your team
OpenAI's plans change often, so check the current numbers before you pay. Here is how they lined up when we checked:
- Free: fine for testing. It includes projects and scheduled tasks, but with tighter limits.
- Plus: $20 a month, billed monthly, according to OpenAI's help center. You get more messages, more models, deep research, file uploads and priority access when the service is busy.
- Business: Standard seats cost $25 per user a month on monthly billing or $20 a month billed annually. Premium seats, with higher usage, cost $125 monthly or $100 billed annually. A workspace needs at least two seats.
If you are a team of one, Plus is the usual starting point. If two or more people will share prompts, files and projects, Business keeps that work in one company workspace with admin controls. 2. Lock down your data settings first
Do this before you paste in a client list or a contract. On a personal Free or Plus account, open your account menu, choose Settings, then Data controls, and turn off Improve the model for everyone. That stops your new chats from being used to train OpenAI's models.
- Business accounts: OpenAI says it does not use content from Business, Enterprise or Edu workspaces for training by default.
- Temporary chats: these skip your history and are not used for training, though OpenAI may keep them for up to 30 days for safety.
- House rule: even with training off, keep payment card numbers, passwords and health details out of chats.
3. Build one project per recurring job
A project groups chats, files and instructions in one place, and its instructions override your general custom instructions inside that project. This is where ChatGPT stops sounding generic.
Good first projects for a small business:
- Customer replies: upload your FAQ, return policy and a few emails you were proud of.
- Marketing: add your brand voice notes, past newsletters and product sheets.
- Monthly numbers: drop in last month's sales export so you can ask questions about it.
Watch the file limits. OpenAI lists 5 files per project on Free, 25 on Go and Plus, and 40 on Pro, Business and Enterprise, and you can upload 10 files at a time. You can create as many projects as you like, and share a project with collaborators who get edit or chat-only access.
Try this prompt
Paste this into your project instructions, then edit the brackets:
You help run [business name], a [type of business] in [city]. Our customers are [who they are]. Write in a warm, plain voice, short sentences, no jargon. When you draft a reply to a customer, follow the policies in the uploaded files, flag anything you are unsure about, and never promise refunds, discounts or dates that are not in those files.
4. Hand it the jobs it does well
Start with work where you can check the result quickly. These are the jobs most owners keep using it for:
- First drafts: customer emails, job posts, product descriptions and social captions. You edit; it saves you the blank page.
- Summaries: paste a long contract, vendor proposal or meeting transcript and ask for the five points that need a decision.
- Spreadsheet questions: upload a sales or expense export and ask which items grew, which shrank and what looks unusual.
- Research: deep research gathers sources on a question like local competitors or a new regulation. Open the links before you rely on them.
Give it the context a new employee would need: who the reader is, what you want them to do, and an example of what good looks like. Then ask for two versions and pick the better one.
5. Put routine checks on a schedule
Scheduled tasks let ChatGPT run a job once or on repeat and send you the result by push notification, email or both. Create one from the Scheduled page, or just ask, for example: "Every Monday at 8 a.m., give me three ideas for this week's social posts based on the season and our services."
- Free and Go allow 3 active tasks, Plus allows 5, Business allows 10, and Pro and Enterprise allow 15.
- Free tasks can run at most once a day. Paid plans can run hourly and at exact times.
- On Plus and above, tasks can also respond to activity in connected apps such as Gmail, Slack or GitHub.
- One catch: a task created inside a project cannot read that project's uploaded files, so put key details in the task itself.
6. Check its work before it goes out
ChatGPT writes with confidence even when it is wrong. Build three habits:
- Verify every number, date, price and legal claim against your own records or the original source.
- Read customer-facing replies before sending. Never let it promise anything your policy files do not cover.
- Keep a short "fixes" note in each project, like "we do not offer weekend delivery," and add to it whenever you correct it.

Common questions
Is the free version of ChatGPT good enough for a small business?
It is good enough to learn on. You get projects, scheduled tasks and file uploads, but with lower limits, only 5 files per project and tasks that run no more than once a day. Upgrade when you hit those limits every week.
Will OpenAI train on my business data?
On Business, Enterprise and Edu workspaces, OpenAI says it does not use your content for training by default. On personal plans, turn off Improve the model for everyone under Settings and Data controls.
What is the difference between Plus and Business?
Plus is a personal plan at $20 a month. Business is a shared company workspace with admin controls, a two-seat minimum and per-seat pricing of $25 a month, or $20 a month billed annually, for a Standard seat.
Can ChatGPT post to my social accounts or send emails for me?
Scheduled tasks can draft and remind, and paid plans can react to events in connected apps like Gmail. For posting on a schedule, most owners pair ChatGPT with a scheduling or automation tool and keep a person approving each post.
